Animates Veterinary Clinic Privacy Policy

At Animates Veterinary Clinic Ltd, we’re committed to protecting and respecting your privacy. We understand how important protecting your privacy is and we adhere to the General Data Protection Regulations (GDPR).

This Policy explains when and why we collect personal information about people, how we use it, the conditions under which we may disclose it to others and how we keep it secure.

We may change this Policy from time to time and will be happy to provide you with a copy upon request.  By using Animates Veterinary Clinic, you’re agreeing to be bound by this Policy.

How do we collect information from you?

When you register with our practice, we will ask you for some essential personal data about you and your pet(s).  These details may be collected in person, online or by telephone. 

What type of information is collected from you?

The personal information we collect might include your title, first name, surname, postal address, email address, contact telephone numbers and if applicable payment information.

Phone Recordings

We may monitor or record telephone calls for the purpose of training and development to ensure our quality standards are maintained.

Records of phone calls which have been recorded are encrypted and password protected. They are deleted within 30 calendar days.  The information captured is not shared with any third party and only authorised personnel have access to this data.

Online

We also obtain information about you if you use our website, for example, when you complete the contact form, when you complete the site booking/registration form or engage with other forms within our site.

The personal information we collect might include your name, address, email address, IP address, and information regarding what pages are accessed and when.

CCTV

To ensure we provide a safe working environment for our staff CCTV is in operation.  The footage from the CCTV is on view within the practice and is kept for 30 days before it is deleted.  No screen captures are kept and no data is used, copied or sold unless under legal obligation.

How is your information used?

We may use your information to:

  • Register your details as a new client or update your details if they change
  • Make appointments
  • Process the fees due
  • Register your pet on a Plan e.g. Pet Care Plans
  • Contact you regarding queries raised in the online contact form
  • Carry out our obligations arising from any contracts entered into by you and us
  • Deal with entries into a competition
  • Seek your views or comments on the services we provide
  • Notify you of changes to our services
  • Send you communications in line with your preferences, which may include reminders for appointments and vaccinations, information about campaigns, appeals, other fundraising activities, promotions of our associated companies goods and services
  • Process a grant or job application

We review our retention periods for personal information on a regular basis. We are legally required to hold some types of information to fulfil our statutory obligations. We will hold your personal information on our systems for as long as is necessary for the relevant activity, or as long as is set out in any relevant contract you hold with us.

Who has access to your information?

Employees of Animates have access to information for the sole purpose of being able to carry out the function of their role within the business.

We will not sell or rent your information to third parties.

We will not share your information with third parties for marketing purposes.

Third Party Service Providers working on our behalf: We may pass your information to our third party service providers, agents, subcontractors and other associated organisations for the purposes of completing tasks and providing services to you on our behalf (for example to process laboratory samples, insurance policy details and send mailings).

When we use third party service providers, we disclose only the personal information that is necessary to deliver the service and we have a contract in place that requires them to keep your information secure and not to use it for their own direct marketing purposes. Please be reassured that we will not release your information to third parties beyond the company for them to use for their own direct marketing purposes, unless you have requested us to do so, or we are required to do so by law, for example, by a court order or for the purposes of prevention of fraud or other crime.

We may transfer your personal information to a third party as part of a sale of some or all of our business and assets to any third party or as part of any business restructuring or reorganisation, or if we’re under a duty to disclose or share your personal data in order to comply with any legal obligation or to enforce or apply our terms of use or to protect the rights, property or safety of our supporters and customers. However, we will take steps with the aim of ensuring that your privacy rights continue to be protected.

Your choices

You have a choice about whether or not you wish to receive information from us and in what form you wish to receive communications. If you do not want to receive reminders or direct marketing communications from us about our products and services then we will not contact you for marketing purposes by email, phone or text message unless you have given your prior consent. We will not contact you for marketing purposes by post if you have indicated that you do not wish to be contacted.

How you can access and update your information

The accuracy of your information is important to us.

If any of your personal details change please contact us so we can update your records.

If you are registered with our on line booking facility you can view what information we hold on our operating system and can either add to, or request to change, any data that is deemed inaccurate.

You have the right to request a copy of the information we hold about you so that you can ensure its accuracy. You can do this by the following methods:

Right to erasure

Where there is no compelling reason for its continued processing all data we hold in relation to you that can be removed will be removed from our systems.

Right to restrict processing

Disposal of Data

Once a retention period for data has expired, the data dependent on its format will be ‘destroyed’, ‘put beyond use’ or “anonymised”. If data in paper form is to be destroyed it will be sent to a third party for disposal.

If data is in electronic form, it is ‘put beyond use’ or ‘anonymised’. This would mean there is no intention on our part to use or access this data again unless under legal obligation.

Security precautions in place to protect the loss, misuse or alteration of your information

When you give us personal information, we take steps to ensure that it’s treated securely.

Any sensitive information (such as credit or debit card details) are not stored on credit card terminals and are subject to daily checks to prevent tampering.  If used through our website the information is encrypted and protected with the following software: 128 Bit encryption on SSL. When you are on a secure page, a lock icon will appear on the bottom of web browsers such as Microsoft Internet Explorer.

Non-sensitive details (your email address etc.) are transmitted normally over the Internet, and this can never be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk. Once we receive your information, we make our best effort to ensure its security on our systems.

Where we have given (or where you have chosen) a password, which enables you to access certain parts of our websites, you are responsible for keeping this password confidential. We ask you not to share your password with anyone.

Personal information that is gathered through communication and transactions is not disclosed, given out to other businesses, or third parties without consent from the relevant party and without authorisation from a senior manager.

Policies are in place to protect data and ensure information that we hold is accurate and that no data is kept for longer than necessary.

External and internal back-ups of electronic data are performed on a daily basis to reduce the risk of loss of data.

16 or Under

We are concerned to protect the privacy of children aged 16 or under. If you are aged 16 or under‚ please get your parent/guardian’s permission beforehand whenever you provide us with personal information.

Breach of data

If a breach of data occurs we are required to report the breach to both you and the information Commissioners Office (ICO), using the Data protection Act (DPA) security breach helpline.

If the breach is the result of fault on our behalf, a review of all procedures in place will be carried out and a full independent inquiry will be held to ensure that any damage that has occurred as a result is reduced to minimum risk for the party concerned.
